Administrative Assistant To The Managing Director & CEO

We are currently seeking to recruit a qualified South Sudanese National to fill a vacant position of an Administrative Assistant to the office of the Managing Director/Bank Chairman.

Main Purpose of the role:
To provide Administrative support to the Managing Director and CEO

1. Key Duties and Responsibilities

• Prepare official documents as assigned.
• Draft official correspondences as assigned.
• Take minutes in meetings.
• Handle incoming & outgoing mails to or from the MDs & Chairman’s Office.
• Coordinate all internal and external appointments for offices assigned.
• Maintain an effective filing system for offices assigned.
• Ensure all correspondences both internal and external are well managed.
• Stationery management to offices assigned.
• Safe custody of all files and documents as assigned.
• Ensure all issues are handled confidentially.
• Ensure all office equipment’s assigned are well maintained.
• Handle enquiries from both internal and external customers and redirect to the appropriate departments.
• Follow through to ensure client’s enquiries are addressed.
• Handle all telephone calls to the offices assigned.
• Provide impeccable customer service to internal and external customers.
• Diary items management.

2. Mental demands/judgment/initiative:

• Ability to prioritize work assigned and act accordingly.
• Quality and excellent customer care to both internal and external customers.
• Able to maintain high confidentiality standards.

3. Personality Attributes
Good communicator, Courteous, Confident, Honest, Self-motivated, Discrete, Pleasant, Good at interpersonal skills, Proactive, Diligent.

Minimum requirements specific to the role

• Bachelor’s degree.
• Experience in a similar position or in a busy environment is an added advantage.

Skills required for the role

• Good command of English language, both oral and written.
• Computer literacy (At least competent in MS Word, Excel, PowerPoint).
• Report writing skills.
• Excellent interpersonal & People management skills.
• Telephone etiquette.
• Good communication skills.

Knowledge of the Banks products, services, policies and or any other specialist knowledge required to undertake the role.

• A general knowledge of banking products and services.

• Ability to work under pressure.
• Commitment to work extra hours if work demands.
